Let us walk you through interesting software for restaurant reservation and order management.

COMPANY CONFIGURATIONS:

Configuration is the most important part of any software. Let us see how we can define company,restaurant,cafe or resort and its working hours accordingly.

 

 

 

 

Menu item: Settings -> Users & Companies -> Companies.:

After selecting the appropriate company from under the users and companies, you can see  the field: “Default Working Hours”. This indicates the work schedule of your company. From here you can select the standard working time for your company. If you want to define your specific timings , then you can create new schedule from the same menu. Following steps will guide you better for the same.

COMPANY TIME SCHEDULE:

Here you can see multiple highlighted fields for your company schedule configuration. Let’s see those in detail:

  1. Timezone: You can select your country's time zone from the drop down.

  2. Day of the Week: This field show you all day of the week you can select and manage your company’s time.

  3. Work From: Indicate the starting time of your company for that day.

  4. Work to: Indicate the ending time of your company for that day.

Day Period: Here two options are available “morning” and “afternoon”  based on, that you can set time for your company. Basically this options are Lunch Shift Hours and Dinner Shift Hours

RESERVATION LIST:

Menu item: Point of sale -> Reservation -> Reservation.

Here you can see a list of reservation for today. By default it will be with “today” filter, you can remove it to see all the reservations in the different colors for different states of the reservation.

RESERVATION FILTERS:

NEW RESERVATION:

Menu item : Point of sale -> Reservation -> Reservation

 

When you want to book a new reservation order, you need to fill in all the details here. Sky blue fields are mandatory to fill in to save. On the left hand corner, you can see a CONFIRM button,which will confirm your reservation. WAITING button will help you to send reservation in waiting queue. If tables are not available then you can move reservation to waiting state. CANCEL button will be used to cancel your reservation order.

RESERVATION VALIDATION:

If you book the order out of the company time then system will show the warning “You can’t book the order out of company time”.  This validation depends on your company time configuration.

RESERVATION WAITING QUEUE:

Menu Item: Point of Sale -> Reservation -> Waiting Queue.

From here you can see all the waiting queue reservations for today. But you need to add the default filter as “today”.

REPORTING

COVER COUNT SUMMARY:

Menu item: Point of Sale -> Reporting -> Cover Count Summary

When you click on the menu, a popup wizard will be there, fill the required information to get the details.

Here you need to select from there you can print report for LUNCH  or DINNER. You can also download the report in PDF format for the total count summary report as per the day. Report with different color numbers as per the state of reservation.

COVERS COUNT SUMMARY:

You can find the covers count summary details by clicking on Covers Count button on POS screen.

It shows the reservation details as per the shifts:  Lunch Shift & Dinner Shift.
 

BLACK Colour counter number shows the New reservation.

RED Colour counter number show the Cancel reservation.

BLUE Colour counter number show the Check out reservation.

GREEN Colour counter number show the Check In reservation.

ORANGE Colour counter number show the Confirm + Assign reservation.

RESERVATION SCREEN:

  • Reservation screen shows reservations data , current date & time and the shift details.

  • Click on shift button to switch to shift like: Lunch Shift & Dinner Shift. According to shift reservation, data will be displayed.

  • Changing date & time will also change the shift and according to date & time, reservation data will be displayed.

  • Click on Reservation button to create new reservation record.

  • Click Edit button (pencil icon) to edit a reservation.

SECURITY PIN CONFIGURATION:

  • Settings-> Users & Companies-> Users-> Point of Sale -> select Mitchell Admin.

  • Now, you can set a pos security pin.

ENTER PIN:         

  • Clicking on OK  will redirect the user to a new reservation window.

 

NEW RESERVATION:

You can create a new reservation by clicking on the Reservation button on the POS screen.

EDIT RESERVATION:

  • Based on the phone number you have added, the customer name, email and other details will be automatically populated.  

  • If you remove the phone number then the others details of the customer will also get reset.

  • Click on the SAVE button to update the record.

RESERVATION NOTE:

You can also add some notes in the Notes Tab(For your reference).

RESERVATIONS COVER:

  • If reservation covers is greater than 8 then it is shown in red.

RESERVATION TIMEOVER:

  • If reservation time is over then it is displayed in red colour and a cross sign is seen to cancel the same. Click on cancel button(cross sign) to update the reservation state to ‘Cancel’.


CREATE CUSTOMER FROM RESERVATION SCREEN:

Click on the icon near Customer Name which will open a pop-up window to create a new customer.

RESERVATION SEAT:

Select reservation record and click on seat button to check-in to the restaurant. It will redirect you to the pos screen for order.

RESERVATION WALK IN:

  • Walk-IN button creates quick reservation and redirect us to the POS order screen.

RESERVATION GUEST HISTORY:

It displays all the reservation details of the customer. When you click on the Reservation button, it will redirect to reservation details.

Menu item: Point of Sale -> Orders -> Customers

 

 

SEND EMAIL:

  • Send email button on backend side is used to send the email to the customer for reservation confirmation. Menu item: Point of Sale -> Reservation -> Reservation

 

  • Click on the “Send Email” button on POS Screen to send the email for reservation

 

MOVE TO WAITING:

Select the reservation and click on Move to Waiting button to keep that reservation in the waiting state.

WAITING LIST BUTTON:

First select the reservation.Then click on Move to Waiting Button.The reservation will move to waiting list. Now click on Waiting List button.You can see the reservation details there.

 

CURRENT RESERVATION AND NFC CARD  RESERVATION :

  • Click on the Current Reservation and it will show you the current reservations based on the shift.

The NFC card number is located in the customer form. If you like to know the reservation based on the NFC card number, just Click on the “NFC Card Reservation” button and enter the NFC number and you will see the all reservations of that particular customer along with the shift.

 

NFC VIEW:

  • Search reservations using NFC card number.

 

NFC CARD NUMBER CONFIGURATION:

 

Testing NFC card numbers:

1111 :         Azure Interior

113   :        Deco Addict

115   :        Lumber Inc

Menu item: Point of Sale -> Orders -> Customers

 

NFC SEARCH:

Enter NFC card number and click on the search icon. This action will show reservation(s) of that particular NFC card number along with the linked customer details based on current time and current shift.

BLOCKING AND UNBLOCKING SLOTS:

You can block and unblock time slots in grid view.

 
  1. Click on grid view button, a pop up window will open.

2) Select the slots you want to block and then click on the “BLOCK SLOT” button.

 

3) Timeslot 17:45 to 18:30 is now blocked for table no 7. Now you can’t do any reservation between time slots 17:45 to 18:30 for table no 7.

 

 

4) To unblock the slots click on Blocked. A confirmation message pop up will be displayed .Then click on the confirm button, timeslots will be unblocked.

PAYMENT RECEIPT(1.1:A):

  • After payment it gets redirected to Payment Receipt.

  • Next reservation time show on Table

WAITER MANAGEMENT(1.11):

WAITER CONFIGURATION:

  • Create a new user -  waiter1.

  • Create a session for waiter1 in pos configurations

  • Login as waiter1 and start waiter1 session.

Menu item: Point of Sale -> Configuration -> Point of Sale

RESERVATION VIEW:

 

  • Select reservation and click on SEAT button

A waiter selection pop-up will open. Click on the required waiter. Press Ok button to transfer the order on to the  waiter screen.

WAITER VIEW:

  • Waiter can take orders and payments for the same.

PAYMENT SCREEN:

  • Validate Payment

  • Generate receipt after payment. Then continue to next order.

GRID VIEW:               

Gridview slot configuration: User can add the slot time base on choice in minutes.
